ERYICA is hiring Administrative Assistant!

ERYICA is looking for an enthusiastic and committed person motivated to work in a human-sized and international non-profit making association in the field of youth. Their new colleague will support the overall management of the ERYICA Secretariat administration, liaise with member organisations and partners, and organise events and meetings.

Your profile

  • EU Citizenship or valid work permit in Luxembourg;
  • Bachelor’s degree or vocational education and training in a relevant discipline (e.g. Management assistance, administrative support studies, secretarial work)
  • Prior experience as administrative assistant, executive assistant, personal assistant or similar in an international environment;
  • Familiarity with organisation and follow-up of meetings and events;
  • Knowledge of office administrator responsibilities, systems and procedures;
  • Proficiency in MS Office (i.e. Word, Excel, PowerPoint), Google tools, Adobe Acrobat, Zoom, other management software;
  • Excellent time management skills and ability to multi-task and prioritise work
  • Meticulous attention to detail and problem-solving skills
  • Strong organisational and planning skills in a fast-paced environment
  • A creative mind with an ability to suggest improvements
  • Excellent written and verbal communication skills in English and French. Other European languages will be an asset, especially Spanish or German;
  • Team worker, willing to take and bear responsibility and to work autonomously;
  • Flexible, effective, and result-oriented;
  • Willingness to work with a small international and busy team in Luxembourg; and
  • Most important of all: you are a fast and zealous learner!


  • Familiarity with the EU grants;
  • Experience with a European/international association; and
  • Experience in the field of youth.

Your tasks

Under the supervision of the Director and in close cooperation with other staff members, you will:

  • Be responsible for the main administrative tasks of the ERYICA secretariat
  • Support the implementation of ERYICA’s strategy and annual work programme;
  • Organise meetings and events;
  • Support calendar and schedule planning;
  • Book transport and accommodation;
  • Provide general support to visitors and event participants
  • Manage databases and members’ information;
  • Deal with correspondence and queries;
  • Prepare letters, agendas, presentations, and minutes;
  • Support the administrative tasks related to grant reports and applications;
  • Order stationery and equipment;
  • Manage contract and price negotiations with service providers and suppliers;
  • Ensure that all items are invoiced and paid on time;
  • Maintain the office condition and arranging necessary repairs; and
  •  Provide PA and support to the Director on an ad-hoc basis.
  • A full-time contract (40 working hours / week) for a fixed term of 12 months (renewable), drawn in accordance and compliance with all applicable laws and regulations in force in the Grand-Duchy of Luxembourg, where the job will be based.
  • A gross monthly salary of 2,780 EUR.
  • The advantageous tax and social security system of the Grand-Duchy of Luxembourg, applicable also if you are a commuter from neighbouring countries.
