Project assistant at the European Patent Office, Munich

European Cooperation Directorate is responsible for cooperation with existing and future EPO member states and the partner countries in the EU’s European Neighborhood Policy. It wishes to strengthen its team by recruiting, on a fixed-term basis, a project assistant for EPO cooperation projects and EU-funded projects.

Responsibilities:

  1. Helping country co-coordinators and project managers to organize and coordinate cooperation activities and events (e.g. seminars, workshops, deployment of experts, study visits)
  2. Responsibility for organizational aspects such as logistics (hotels, flights, transport), administrative and financial documents, etc.
  3. Administrative work in cooperation with the directorate’s staff (correspondence, preparing tables and presentations, appointments diary, absence administration, etc.)
  4. Administrative support for outside experts and contractors as required
  5. Helping to produce reports for co-operation and EU projects
  6. Contact person for visitors; looking after them
  7. Other administrative tasks as assigned

Eligibility

  • have excellent communication skills, both inside and outside the EPO
  • work carefully, accurately and reliably
  • be loyal and diplomatic
  • be team players able to work independently within a defined framework
  • have excellent skills in modern software programs such as MS-Office and Lotus Notes
  • meet deadlines agreed or set
  • approach proactively the daily challenges arising
  • enjoy working in a service-oriented environment
  • basic understanding of the EPO’s various co-operation projects with existing and future member states
  • basic understanding of how EU projects are handled
  • knowledge of other areas of the directorate’s work (e.g. Common Log)

Minimum qualifications

Completed secondary education or – in exceptional cases – equivalent professional experience. Working knowledge of the EPO’s three official languages**. The successful candidate(s) will be selected on the basis of qualifications, supplemented as appropriate by interviews and/or tests. It is intended to hold the interviews in calendar week 46.
