Administrative Assistant at European Regional Office in Brussels

In order to support the implementation of the project, Safe from harm! Creating a safe environment for children and young people in youth organizations, funded by the DAPHNE III Programme of the European Commission – DG Justice, the European Region of WOSM is recruiting an Administrative Assistant for its office in Brussels. This is a junior position to support the administration of the above-mentioned project and fulfill all the requirements related to the European Commission grant.

Eligibility

The person is expected to have experience (as an intern, junior staff or as a volunteer) of project administration, maintaining accurate and detailed records (including bookkeeping), working with and supporting the Project Manager and staff and volunteers in the partner countries of the project. The position requires being fluent in English and ideally having a good understanding of French.

Main tasks

To support the implementation of project Safe from harm! Creating a safe environment for children and young people in youth organisation in order to fulfill with the requirement of the European Commission grant and in particular:

  • Provide daily clerical support to the project including book-keeping and travel bookings
  • Provide regular reporting regarding expenditures and budget situation
  • Contribute to composition of the grant Final Report
  • Minutes taking and reporting of meetings
  • To assist with related project administration as an integral art of the European Regional Office,
  • Brussels
  • Such other tasks as allocated directly by the Regional Director, Project Manager and Director of
  • External Relations and Funding

The Administrative Assistant will be based at the World Scout Bureau – European Regional Office in Brussels and will work under the supervision of the Director of External Relations and Funding but in constant contact with the Project Manager who is not going to be based in the same office.

Duration of the project

The starting date is ASAP, ideally from the beginning of May and will last for 16 months, until the end of the project, foreseen in August/September 2014 depending on the start date.
